The Federal Office has been using the tried-and-tested Electronic Court and Administration Mailbox (EGVP) in electronic legal communications with administrative courts since 2018. By expanding the EGVP to include the special electronic public authorities’ mailbox (beBPo), the BAMF has since 1 January 2022 been complying with the obligation to use electronic legal communications for public authorities and legal entities under public law, and will also be communicating with legal representatives via this secure communication method from now on.

A large number of the administrative courts have now fortunately completely done away with forwarding paper files, which requires considerable work to be done by hand, and delays the files due to the unavoidable postal turnaround times involved. The Federal Office receives more than 45,000 items of electronic mail per month, and sends more than 14,000 messages to the administrative courts and legal representatives in electronic form (as of: December 2022).

The burden on the branch offices is considerably reduced as there is no longer any need to forward documents in paper form, including for instance when defending against legal actions. The fact that requested files are dispatched rapidly, and as a rule on the same day, permits administrative court judges to achieve significant time savings when it comes to processing cases.

How to address messages to the BAMF:

Optimised message processing via beBPo/EGVP in the context of asylum is facilitated by addressing messages to the mailbox of a branch office relevant in terms of asylum that is responsible for the matter in hand. Should it not be possible to identify the mailbox of the branch office relevant to the communication in terms of asylum, you can nonetheless address the message to the branch office of the Federal Land in question responsible for asylum that is dealing with the case. Where messages are processed by hand, the message is forwarded to the responsible unit within the BAMF as quickly as possible.
